Retail Administrative Assistant

Are you friendly, motivated, and passionate about making a difference?

We're looking for a highly organised and proactive Retail Administrative Assistant to join our Retail Administration team on a 3-month fixed-term contract. In this varied and rewarding role, you'll help keep our nationwide retail operation running smoothly by providing essential administrative support across our shops, online sales channels, volunteering activities, and estates and health & safety functions.

Working closely with colleagues across the organisation, you'll be a key point of contact for our retail teams, helping to ensure accurate records, efficient processes and excellent operational support that enables our shops and online business to generate vital income for DEBRA's work supporting people living with epidermolysis bullosa (EB).

This role is based at DEBRA's Head Office in Bracknell and is offered on a part-time basis of 20 hours per week, working 4 hours per day, Monday to Friday. The salary for this position is £13,832 per annum.

About DEBRA

We are a national charity that supports individuals and families affected by Epidermolysis Bullosa (EB) – a painful genetic skin blistering condition which, in the worst cases, can be fatal.

Purpose of the role

The Retail Administrative Assistant provides comprehensive, high-quality administrative support across DEBRA’s retail operation. Working within the Retail Administration team and reporting to the Head of Retail Administration, the postholder supports the smooth, compliant and efficient running of the retail estate across four key areas: our shops, our online and eCommerce sales, estates and health & safety, and volunteering.

Acting as a helpful and reliable point of contact between our shops, head office and the wider retail teams, the postholder helps ensure that the infrastructure underpinning DEBRA’s retail income is accurate, well-organised, well-governed and continuously improving.

Your Key Responsibilities

  • Provide administrative support across DEBRA's retail operations, responding to queries and maintaining accurate records, trackers and documentation.
  • Support shop openings, closures, relocations and refits, ensuring paperwork and operational updates are managed efficiently.
  • Assist with the administration of DEBRA's online sales channels, including product listings, orders, stock records and performance reporting.
  • Support estates and health & safety administration by maintaining compliance records, maintenance schedules and key property information.
  • Liaise with shops, contractors and internal teams to coordinate maintenance, compliance and operational activities.
  • Provide administrative support for retail volunteering, including recruitment, onboarding, training records and volunteer communications.
  • Prepare reports, presentations and meeting documentation, supporting Retail Area Meetings and wider retail projects.
  • Maintain organised filing systems and databases while identifying opportunities to improve administrative processes and ways of working.
