We are looking for a Recruitment Administrator (Onboarding) to join our friendly and fast-paced Recruitment Team based in Glasgow.
This is more than an administration role. You'll be the person who helps talented individuals take their first steps into a rewarding career with Sense Scotland. From interview scheduling to safer recruitment checks and onboarding, you'll create a positive experience that reflects our values from the very first interaction.

- You will have a minimum of 2 years' experience in a recruitment, HR administrator, or similar role
- Interviews will be held on Tuesday 13 October 2026 in Glasgow

As our Recruitment Administrator, you'll play a crucial role in ensuring candidates move seamlessly through the recruitment and onboarding journey. What you'll be doing
You'll work closely with Recruitment Leads, Hiring Managers, HR colleagues, and candidates to deliver a professional and efficient recruitment service.
Key responsibilities include:
- Managing candidate activity through our Applicant Tracking System (ATS)
- Coordinating interviews and supporting hiring managers throughout the recruitment process
- Acting as the first point of contact for candidates before and after interviews
- Issuing offers of employment and processing candidate outcomes
- Coordinating and completing onboarding activities in line with safer recruitment guidelines
- Obtaining, tracking, and validating references for prospective employees
- Monitoring onboarding progress and ensuring all compliance requirements are met
- Maintaining accurate recruitment and employee records
- Supporting HR administration, reporting, and recruitment improvement projects
- Delivering a positive, professional, and supportive candidate experience at every stage
About you

We're looking for someone who has:
- Previous administration experience within a busy office environment
- Recruitment or compliance administration experience (desirable)
- Strong communication and interpersonal skills
- Excellent organisational and time-management abilities
- The confidence to manage multiple priorities and deadlines
- Experience using Microsoft Office applications
- Knowledge of ATS systems such as JobTrain (desirable)
- A meticulous approach to record keeping and compliance
- The professionalism and discretion required when handling sensitive information
- Strong problem-solving skills and an eye for identifying discrepancies
- A genuine commitment to delivering an excellent candidate experience
